Effective spare-parts inventory management balances availability with cash flow. A workshop needs common parts ready when technicians need them, but excess or obsolete stock ties up money and occupies storage space. Accurate item records are the foundation for making that balance visible.

Record each part with a consistent code, description, compatible vehicles, supplier, purchase cost, selling price, quantity, and storage location. Every receipt, issue to a work order, return, adjustment, and transfer should update stock immediately so the system quantity matches the physical shelf.

Review fast-moving, slow-moving, and out-of-stock items separately. Set reorder points using actual consumption and supplier lead time, then investigate repeated emergency purchases. Linking issued parts to work orders also makes job costing and margin analysis more reliable.
